Royal City Badminton Club Organizational Structure and Operations


MANDATE: The Royal City Badminton Club shall promote recreational badminton play for Guelph and the surrounding community. We shall endeavour to do so at a reasonable cost considering the prevailing financial factors. All members and permitted guests must obey the rules at all times.

   Definitions:
“The Club” hereafter refers to the Royal City Badminton Club
“Membership” hereafter refers to paid members of the Royal City Badminton Club
“Pay-as-you-play Guests” are non-members who have paid a drop in fee
STRUCTURE: The Royal City Badminton shall be administered by Executive members comprised as follows:
  1. President
  2. Vice President
  3. Secretary Treasurer
  4. Executive Director at Large
An Executive position shall be considered and elected by a majority vote of the Board of Directors and the Executive, at the Annual General Meeting. The Executive will perform all decision making functions as required in accordance with their job description. Three of the four Executive members shall have signing authority with two signatures required on all cheques issued. All Executive members with the exception of the Secretary Treasurer must also hold a Court Supervisor position.

In addition a Board of Directors comprised of the following members:
  1. Tuesday Night Court Supervisors – up to three members.
  2. Wednesday Night Court Supervisors – up to three members.
  3. Friday Night Court Supervisors – up to three members.
  4. IT Coordinator
  5. Social Convener
  6. Tournament Director
A new or replacement Board member shall be an appointment by the Executive with input by the existing Board. A notice shall be posted encouraging committed long standing members with sufficient dedication to stand when Board or positions arise. Generally Board members would assume vacant Executive positions.

OPERATIONS:

   Court Play: All evenings of play or events shall be supervised. The Head Court Supervisor is the first named on the Court Contract for that particular evening. The Head Court Supervisor is in charge and shall be responsible to welcome members and pay-as-you play guests and to ensure compliance with “The Rules”. The Head Court Supervisor when not available shall ensure they are covered by the second Supervisor named on the contract or if applicable the third backup Supervisor. The Court Supervisor may from time to time have to use discretion and deviate from the strict compliance with the rules but must communicate these situations to the Executive so that “The Rules” can evolve with changing circumstances. Confrontational situations ie: removal of an unwanted person must be referred to the Custodial Supervisor. If it is the opinion of the Head Court Supervisor that the number of players in the gym at one time is excessive, the Head Court Supervisor reserves the right to limit the number of pay-as-you-play guests at his/her discretion.

   Meetings: There shall be an Annual General Meeting. It shall occur immediately following the conclusion of the regular season and before the commencement of the summer vacation. The Board of Directors and the Executive shall meet as a whole a minimum of once per year at the Annual General Meeting at which time all significant matters of direction, operation and/or financial issues will be decided by majority vote of all present. The Executive may meet more frequently as needed and can make operational decisions regarding day to day matters

COMMUNICATION:

   Comments/Complaints: Any member who wishes to inform the “Club” about a comment or concern or suggestion is encouraged to do so at any time. If of a minor nature, it would be expected the Court Supervisor would deal with the request at that time. If the Court supervisor feels the matter is of a more important nature they should direct the person to communicate with the President either in writing or electronically. This communication must be signed or it may be disregarded.

   Notification: The Club shall endeavour to notify the Membership of all important matters in a timely manner. This may be done electronically via e-mail, by posting on our web site or posting court-side on the bulletin board.
